2019 SCA Kingdom Seneschal Symposium a Success!

The 2019 SCA Kingdom Seneschal Symposium, held in Milpitas, California, was a great success, with 18 of 20 Kingdoms present. At this Symposium, there were considerable discussions regarding the new 2020 Sanction Manual, the Bullying and Harassment Procedures, changes in corporate matters, and other administrative matters related to duties and responsibilities of Regional Vice-Presidents (Kingdom Seneschals). Kingdom Seneschals shared their own experiences and issues related to their respective Kingdom offices.

Several Corporate Officers made subject matter presentations on various topics including, but not limited to: Diversity and Inclusion for Seneschals by Jessica Van Hatten; W9s, 1099s, and the Event Module by Mazelle Attiya; Corporate and Kingdom Interactions by John Fulton; Rule Compliance and Sanctions by Mike Watkins; and SCA Administrative and Corporate Matters by Renee Signorotti and Theresa Anderson. Thanks to Theresa and Renee for arranging for the meeting space and amenities!

Corporate Officers received many comments and feedback on issues and procedures from Kingdom Seneschals during the numerous discussions in the day-long Symposium with many more follow-up conversations to be conducted. Mike Watkins, the Society Seneschal, extends his deepest thanks and appreciation to all of the Kingdom Seneschals who attended and to the Corporate Officers who made presentations at the meeting. We have an outstanding cadre of Kingdom Seneschals dedicated to the administration of their respective Kingdoms to further the enjoyment of the Society by the membership.

Non-Member Surcharge is now Member Discount

After much research and consideration it has been decided to replace the term “Non-Member Surcharge” with “Member Discount” for SCA use.

With this change, it is important for everyone to know that Child Registration Fees will not go up in view of the “Member Discount”.  We are not assessing $5 for children who do not have a membership.   If under the old fee structure, the site fee was $15 for adults with $5 NMS and $5 for children under 16, then the NEW nomenclature would be as follows:

Adult Event Registration;  $20, Adult Member Discount Event Registration $15, Children (specify the age range) Registration Fees (less at least $5 or more than the member price) Youth (specify the age and under) free.

If you have any questions, please feel free to contact the Society Exchequer, Corporate Treasurer or myself.

Background Checks Update

Greetings to the Kingdom Seneschals of the SCA, Inc. located in Canada and the United States,
This email pertains to only those Kingdoms within Canada and the United States; if you are the Seneschal of Lochac or Drachnwald, this email does not pertain to your Kingdom so feel free to hit delete.
Each Kingdom Seneschal and Youth Officer (including Youth Combat Marshals) must have a current background check as required by the Seneschals Handbook.  Furthermore, it is the responsibility of the Kingdom Seneschal to maintain a list of officers that have received background checks.  In view of certain irregularities that have come to light in at least one Kingdom, I want to impress upon each one of you that this requirement for background checks must be met.  (See below for the language in the current Seneschals Handbook passed by the Board of Directors in December of 2014 on pages 24-25, specifically Article XI, Sections A, B and C.)
Considering the SCA, Inc.’s potential liability in terms of law suits (particularly civil suits involving SCA agents and officers), the SCA must maintain a standard of due care to protect us all from liability.  I was a Kingdom Seneschal during the lawsuit’s settlement and I recall signing a check for over two thirds of my Kingdom’s treasury; trust me, it was not a good feeling, but it was necessary to end the lawsuit and assure ourselves that the SCA’s Kingdoms would continue to survive.  It is my dear hope that the SCA survives me and that our great-grandchildren can enjoy the SCA well into this 21st Century.
As such, if you do not have your background checks in, please send them into Renee.  The company that we utilize handles world-wide background checks and as such, the process is the same for everyone (with the exception of “affiliates”).  Please know that your personal information is guarded well and that at the end of the background check process, your personal information is confidentially destroyed (i.e. it is not maintained in the SCA’s Office except for the initial processing of the information and if there is a delay, the information is locked away in an office that is protected 24 hours a day my a professional security company).
I myself have been background checked twice (as Kingdom Seneschal and Society Seneschal).  In terms of my employment, my office has an extensive background check process.  In terms of my other volunteer work with nonprofits, I have had background checks every two years for the last twelve years.  In that time, neither my name nor confidential information has every been compromised.
This is extremely important and I would ask each one of you to scrupulously adhere to the standards set in the Seneschals Handbook because the security of our organization demand this in view of the fact that another lawsuit can effectively bankrupt the SCA.  I have asked Renee to give me a list of those individuals currently background checked.  If you need to touch bases regarding any individual Youth Officer or Youth Marshal, please contact me directly and I will check their status with Renee.
If you have any questions, please contact me directly via telephone at (916) 600-2716.

Closure of the Office of the Chirurgeonate – August 10, 2015

The decision has been made to close the Office of the Chirurgeonate as of August 10th, 2015. The board and corporate officers want to extend their gratitude for ALL who have served our organization in this capacity in the past. To those who have provided feedback, questions, and worked to explore options for scopes of the office that would allow our organization to retain the office and maintain insurance coverage for the officers and our organization, many thanks as well.

To clarify some of the concerns that have been raised during the many discussions of this change, the board and corporate officers want to provide the following information:

The Society Seneschal has been directed to remove references to the Chirurgeonate from the Record Retention Policy. Existing records should be retained for 2 years for adults, 21 years for minors, then shredded to ensure any Personally Identifying Information is destroyed.
Local groups should sort records into Adult, Minor and Destroy categories and ship (paid for by the local group) records to the corporate office. The corporate office will retain records and handle the shredding.

Each Kingdom has thirty business days to transport these records to the corporate office.

Event Coordinators/Stewards/Autocrats are still responsible for arranging for EMS on site if that is required by municipal/county/state requirements. This most often will apply to large events projecting an attendance greater than the threshold set by the applicable modern agency. It is recommended to include information regarding distance from site to medical care in event announcements, particularly for camping events.

The marshallate will still be responsible for reporting injuries on the field. Seneschals will still be responsible for reporting injuries (particularly requiring transport) as currently directed.

Tangible assets owned by SCA branches that are specific to the Office of the Chirurgeon may be retained or donated or sold, in accordance with applicable financial policies.

Over the counter medications may not be purchased by SCA branches to distribute or make available to event attendees.

The badge of the fleam will remain available for those individual volunteers (not affiliated with the SCA, Inc. and its Kingdoms and local groups) willing to provide basic first aid.

Should additional questions or concerns regarding this change arise, please direct them to the SCA President, at president@sca.org

Our thanks again, to all the volunteers that have helped keep our organization going for 50 years!

Policy re the relationship between the ACL, BOTN and SCA Inc.

The policy regarding the relationship between the Armored Combat League & Battle of the Nations and the SCA has been defined for over three years by two Society Seneschals and the Board of Directors, specifically:
1.  There will be no ACL/BOTN demos at SCA events.
2.  There will be no ACL/BOTN announcements (on a calendar or otherwise) on any official SCA media stream.
3.  If there is an ACL/BOTN announcement on an unofficial media stream, it must carry the disclaimer that this is not a sanctioned SCA activity.  If people become difficult and refuse to carry this standard disclaimer, the announcement should be pulled and the poster can be blocked at your discretion.
If anyone has questions on this matter, please contact me directly.  As the matter has been decided by two Society Seneschals and the Board of Directors, the matter is not open to debate.

The Seneschal of the Society sends greetings to my fellow SCA members and participants,

Based upon the fact that ACCEPS has now shut down, the need to remain silent to ensure the security of everyone’s credit card information on ACCEPS is no longer a concern and as such, I am able to divulge the following factual basis for the SCA’s ending of its relationship with ACCEPS in terms of all future events.

Please know that it was the Board of Directors and the Corporate Officers’ intention to allow ACCEPS to continue to serve the Kingdoms and the local groups in terms of those events that were currently being handled through ACCEPS and that the immediate shutting down of all ACCEPS activities was not anticipated by the Board of Directors or the Corporate Officers.  The immediate termination of ACCEPS was a decision made solely by the ACCEPS staff.

Furthermore, I did not anticipate that my official memorandum to the Kingdom Seneschals (the same email was sent by the Corporate Treasurer to the Kingdom Exchequers) would be disseminated in whole or in part on Social Media feeds and as such, I feel that the following points need to be made.

1. It was reported to the Board of Directors that ACCEPS’ security structure could be compromised and that ACCEPS’s security must be updated; when this was reported to ACCEPS, the creator of the ACCEPS program refused to bolster and update security and make the necessary modifications to ACCEPS to protect participants and the SCA.

2. In an attempt to protect the members and participants of the SCA using ACCEPS, the Board of Directors decided, in conjunction with the President, Society Seneschal (i.e. myself) and Corporate Treasurer, decided to remove the SCA’s authorization to use ACCEPS in terms of any future events.

3. All Kingdom and local group events currently being served through ACCEPS would be allowed to continue to participate as active ACCEPS participants; however, it was determined by the Board of Directors, in conjunction with Corporate Officers, that no new events will be allowed to register with ACCEPS due to the financial risk to the SCA and its participants.

4. The Board of Directors and Corporate Officers determined that it was most prudent to protect the individuals who are still being served by ACCEPS by not drawing attention to the security weakness inherent in ACCEPS; to do so would have been to place the participants and their credit card information at risk in terms of credit card fraud.

5. The Society Seneschal and Corporate Treasurer drafted an official letter to Kingdom Seneschals and Kingdom Exchequers to not use ACCEPS in the future, that to violate this rule would result in a suspended warrant (i.e. there was a real consequence to not following this directive) and that those events that were currently being served by ACCEPS may continue, but not be extended.  The potential sanction for any Seneschal and Exchequer not following this directive was commensurate with putting the SCA’s membership at risk.

6. A courtesy copy of these official letters (to Kingdom Seneschals and Exchequers) were sent to ACCEPS. As such, ACCEPS was informed that the SCA was terminating its relationship ACCEPS in terms of any new events; however, it was clear from the letter that the SCA would continue to allow the Kingdoms and local group to maintain all current events handled by ACCEPS.

7. The treasurer of ACCEPS contacted the Corporate Treasurer on the evening of April 18, 2015 which was the genesis of a conference call between the treasurer for ACCEPS, the President of the SCA, the Corporate Treasurer and I (as Society Seneschal), immediately after receiving the courtesy copy of the official email sent to all Kingdom Seneschals and Exchequers. The terms of the SCA’s response to ACCEPS were reviewed orally during this phone call, i.e. that the current events already being handled on ACCEPS would be allowed to proceed until fruition, but there would be no further events handled on ACCEPS.

8. Not only did ACCEPS refuse, previous to this past weekend’s Board of Director’s Meeting, to take steps to protect individuals which forced the hand of the Board of Directors and Corporate Officers, but later that evening, after the Board Meeting and after the conference call with Corporate Officers, ACCEPS chose to terminate their services to each Kingdom and local group in terms of all of the current events being handled by ACCEPS.

9. Later that evening, statements were made on Social Media quoting portions of the official communication to SCA Seneschals and Exchequers and this generated a great deal of negative comments in terms of the Board of Director’s and Corporate Officers; however, the Board of Directors and Corporate Officers were unable to comment on these until this opportunity.  To do otherwise would be to expose the weaknesses in security in terms of the ACCEPS system and put the credit card information of the members and participants at risk.   This posting is a response to all of those comments.  A number of comments received by the Board of Directors and Corporate Officers and I will be responding to each of these now that ACCEPS has been shut down.

10. PayPal is currently being utilized by several test Kingdoms and while the vast majority of the other Kingdoms are not currently ready to employ PayPal; however, the Board and Corporate Officers were compelled to act swiftly to minimize the opportunity for fraud in view of the refusal by ACCEPS’ owner/creator to make proper updates and enhancements to protect credit card information. I believe that we all understood that this would be inconvenient to Kingdoms and local groups, but in view of the world wide threat of credit card fraud and identity theft, the Board acted to protect individual participants who could be compromised by utilizing ACCEPS in the future.

If anyone has any questions regarding this matter, I can be reached at seneschal@sca.org.  I am unable to participate in Social Media due to the nature of my mundane employment; as such, if you are interested in actually discussing this matter, I invite you to send me an email.

ACCEPS No Longer Approved

The Board of Directors of SCA, Inc. believes that there are better options in terms of electronic payments in the SCA; the corporate office is moving towards an alternative payment service as rapidly as possible. As such, the Board of Directors is discontinuing its relationship with ACCEPS and no longer approves the usage of ACCEPS as of midnight April 18, 2015. As such, I am directing all Kingdom and Local Group Seneschals to follow the decision of the Board, Corporate Treasurer and Society Seneschal to not utilize ACCEPS. If anyone makes the unfortunate mistake of not being in compliance with this directive, the officer in question’s warrant will be immediately suspended.

As for all current ACCEPS related events, these will be allowed to go to completion; however, there will be no time extension in terms of these same events.

Advisory Opinion Regarding the possible inclusion of non-rattan fighters into the Order of the Chivalry

SCA Announcements

I felt that the following Advisory Opinion was required in view of the potential for confusion brought to my attention by one or more Kingdom Seneschals; however, in view of continued questions, I would like to amplify the bandwidth as I want everyone to have access to this Advisory Opinion of the rules of the SCA; this advisory opinion is based upon my independent reading of Corpora as presently constituted, a 1999 policy interpretation (by a prior Society Seneschal) and the affirmance of that position by the Board of Directors in 1999.  As such, I am presenting the following Advisory Opinion for maximum distribution in view of continued questions.  Please be advised that this is not an invitation to further debate; rather, it is a rather simple statement of the state of the Governing Documents of the SCA, i.e. Corpora.  While the final authority regarding Corpora rests with the Board of Directors, the Board is devoted to transparency and in all cases, any change in Corpora must first be put out for comment to the membership prior to any Board action.

Best regards,

A.J. Pongratz

Advisory Opinion Regarding the possible inclusion of non-rattan fighters into the Order of the Chivalry

Greetings unto Kingdom Seneschals,

After January 17, 2015, I have received inquiries regarding whether a Crown may grant admission to the Order of Chivalry to a rapier or cut-and-thrust fighter.  The following opinion is being disseminated to all Kingdom Seneschals to assist Their Crowns in view of the recent amendment of Corpora by the Board of Directors.

Despite the recent change in the language of the governing documents of the SCA, Inc. thereby removing the “ancillary activity” language from Corpora by the Board of Directors on January 17, 2015, an individual combatant should not be admitted to the Order of Chivalry based upon the combatant’s prowess in the areas of rapier or cut-and-thrust combat; my position is in conformity with the previous policy interpretation of the 1999 policy interpretation by the then Society Seneschal, affirmed by the Board of Directors in 1999, which clearly indicates that only rattan combatants (heavy or armored combatants) are eligible for recognition in the Order of Chivalry.  I have determined that the key controlling factor in answering this question rests in the language of corpora dealing with “tournament combat”, namely:

A. Selection
1. Royal Lists must be conducted at a tournament announced in the kingdom newsletter as being for that purpose. Crowns or Coronets who wish to conduct a royal list in a manner other than individual combat must obtain the prior approval of the Board of Directors.
—as well as–
A. Patents of Arms
4. Patent Orders
The following institutions are established for all kingdoms in the Society. A Patent of Arms may be conferred only upon a person being admitted into one of these orders. Each candidate for a patent order must satisfy the general requirements listed above in A.1., as well as the specific requirements listed here.
a. The Chivalry: (i) The Chivalry consists of two equal parts: Knighthood and Mastery of Arms. No one may belong to both parts of the order at one time. When a member is admitted to the Chivalry by the Sovereign, the choice of which part of the order to join is made by the new member. The candidate must be considered the equal of his or her prospective peers with the basic weapons of tournament combat. To become a Knight, the candidate must swear fealty to the Crown of his or her kingdom during the knighting ceremony. Masters of Arms may choose to swear fealty, but are not required to do so.

It is clear that “tournament” combat in the SCA pertains exclusively to Crown Tournaments and Coronet Tournaments prior to January 15, 2015 and tournament combat is exclusively rattan, heavy, armored combat.  The January 17, 2015 amendment to the governing documents, made by the Board of Directors, is in conformity with this position, namely, the only martial combat that may decide Crown and Coronet Tournaments is rattan combat and this amendment to Corpora is consistent with all of the governing documents of the SCA.

When the Order of Chivalry was created, it was conceived as the peerage whereby the best tournament fighters (both Crown and Coronet Tournaments), i.e. rattan, heavy, armored combat, would be honored with the title of Knight or Master at Arms.  Such has been the case for almost fifty years.  I must conclude that removing the “rapier as an ancillary activity” language or any other additions made by the Board of Directors has no definitive impact on the clear intent of the governing documents.

In 1999 the Society Seneschal (Lee Forgue), was asked by the Crown of the Midrealm for a Corpora interpretation as to whether or not a Crown could Knight a rapier fighter; Lee Forgue as Society Seneschal (circa 1999) responded with an official policy interpretation that was affirmed by the Board of Directors in 1999.  Ms. Forgue’s affirmed interpretation of what was previously Article VII (which is now Article VIII) is noted below in pertinent part:

“My interpretation is that, when Corpora VII.A.4.a.(1).(a) speaks of tournament combat as the prerequisite for admission to the Order of Chivalry, the form of fighting referred to is that variously referred to as armored, heavy, chivalric, or rattan combat or, in the Rules of the Lists (Corpora Appendix B), traditional Society combat, i.e., the form of fighting done wearing substantial armor and using rattan weapons that was totally developed in and for the SCA.”

In view of my own research as well as the prior policy interpretation made by Lee Forgue in 1999 (which was affirmed by the Board of Directors in 1999), I cannot hold otherwise in this opinion even in view of the removal of the “rapier as an ancillary activity” language as there is no evidence that this “ancillary activity” impacts either the 1999 holdings of the Society Seneschal and the Board of Directors, the traditions of the SCA or the other pertinent portions of Corpora including but not limited to Articles IV and VIII.

In the face of nearly 50 years of tradition, the totality of Corpora (i.e. the governing documents of the SCA), the 1999 policy ruling of the Society Seneschal which was affirmed by the Board of Directors in 1999 and my own independent interpretation of Corpora, there is no question that, absent a change in Corpora, a Crown may not grant a rapier fighter into the Order of Chivalry as a Knight or Master at Arms.

Please pass this official advisory opinion on to your respective Crowns.  I know that there has been a lot of confusion recently and I also know that there has been a lot of angry and frustrated feelings in terms of the possibility of an additional peerage; however, nothing truly precious or dear is ever achieved easily.  I have complete confidence in the men and women of the Board who are trying to best serve the individual members of the SCA as well as the future of the SCA.  They are individuals like you and me, who volunteer their time and try to be good stewards of this game that has become such an important aspect of our lives.

When I think about the SCA and how it has affected my life, I know full well that I am a better man because of it and I also know that each of us serves this dream with our hearts, minds and bodies… and the members who volunteer and serve as Board Members are no different than any of us… they want to do what is best for the women and men of the SCA… and they want to give us their very best… and at times, as you know, it is a thankless job.

If either you or Your Crown have any questions, please feel free to contact me by telephone after 5:00 p.m. Pacific Standard Time at (916) 600-2716.

Very truly yours,

A.J. Pongratz, Esq.

Change of Office

Springs tender embrace
Heralding changing seasons
Wistful sighs remain

In 2007 I was invited to serve on the SCA’s Board of Directors. It was an incredible journey. I thought that was my fondest time in the SCA.

Two and a half years ago I was given the opportunity to be able to serve the SCA as Society Seneschal. These moments were perhaps my most fulfilling in the SCA. I look back on the mile markers strewn along the journey. There were many. The dearest memories of which were the SCA Census, The Seneschal’s Handbook redesign, the Unofficial Society Seneschal’s Facebook Page and The Sanction Guide. I could not have done any of this without folks who walked with me. Sara (Kim) my wife without whose support I could not have done this and who made my docs sing. Phillip (Scott) my ER until he stepped up as a Board member. Thank you for teaching me “please” or at last a version of it. Heather (Kelly) for being my git-er-done deputy. No task was too daunting for you. Ditto for you Avery, you rock. John (Bearkiller) my idol. You are the one I hope to be. Renee I will miss you. You kept me as on path as humanly possible. Thank you for putting up with me. You are the SCA.

The list goes on and on…Denise, Valharic, Marilee, LLF, David, Max, Marshal and the countless folks who made it possible for me to be able to shoulder the job as Society Seneschal but whose names are forever etched on my heart. Lastly to all the Kingdom Seneschal; I am in awe of you. You are the blood and sinew of our society. Thank you for allowing me to work with a team of incredible folks. I am humbled by your tireless service.

Time has come to take a rest. Master Antonio Giordano da Sicilia of the West (Anthony Pongratz) will be stepping in as my ER Deputy effective close of the April meeting. He will be awesome.

Thank you for letting me walk with you and learn with you and grow with you.

Request for Commentary on Sanctions and Corpora

Over a year ago the office of the Society Seneschal began a complete revamp of the sanction process. The Grand Council assisted in this mammoth project as did past society Seneschals, Kingdom Seneschals, members of the Royalty and past board members. Special thanks to the feedback from individuals that have gone through the sanction process in the past and the subscribers to the Society Seneschal’s unofficial Facebook page.

The new sanction guide cannot exist without changes to corpora therefore both of these documents are being put up for commentary as they are matched pair. You can find PDFs of those documents on the Society Seneschal’s webpage at https://socsen.sca.org/. Commentary will be open for 60 days and should be sent to sca-comments@lists.sca.org. The commentary period concludes December 28, 2013. It will be helpful to reference specific page number and section number.

The plan is to hopefully put this project in front of the board for approval at the January 2014 board meeting. If you have questions for me directly please contact me at seneschal@sca.org.

What does SCA Participation mean for the Sanctioned Individual?

The Society Seneschal asked:

Trying to get a handle on a loose thread regarding the sanction guide. What is the meaning of “SCA participation”. More specifically. When you get a sanction resulting in a revocation of membership and denial of participation, what should be precluded. So in the hypothetical Lord Bubba was r&ded for beating his significant other at a sca event. What can he do or cannot do? We know he cannot go to SCA events, SCA meetings? What else.

We need your input! If you have an opinion about any of the nominees, your commentary, both positive and negative, is very much needed and gratefully received by the Board. You may comment on any aspect of the person’s suitability as a director that you feel is important. In addition, new nominations are always needed and strongly encouraged as are re-nominations of any who expire. Any SCA member may nominate any member, including themselves. All information received is kept completely confidential, and no one ever sees commentary on themselves.

Please send all comments and nominations to Max Nelson, Board Recruiting, PO Box 360789, Milpitas CA 95036, recruiting@sca.org. Please include your name and address in any letter sent concerning these matters, and remember to include the name and address of anyone you nominate for the Board so that we may contact them. You will receive a response indicating that we received your correspondence – if you don’t hear back from us promptly, we did not get your missive.

Disabilities and the SCA

In the past year I have had three folks approach me with similar experiences. Each was told that they would never become a peer (Knight, Laurel or Pelican) because of their disability. While I can understand that for a fighting peerage it may be daunting task, service and art peerages are an entirely different matter. Folks with disabilities may not be able to attend as many events but they can give back in many others ways.

The SCA is about being inclusionary. We must always strive for folks to feel welcome. Kind, supportive, encouraging words are cornerstones of the ideals to which we aspire.

Let’s try to live what we preach! Dis-ability is not In-ability.

The Society Seneschal would like to collect feedback on the *new* Sanction guide before it is submitted to the Board for approval in Oct. There is still work to be done but it’s getting close. Great heaps of thanks go to the GC and the vast number of folks who have been involved in this year long process. Please remember the house rules and keep all interactions civil and problem-solution focused. Please reference page number and specific section for example page 12 III.A.2.a.

Possible Demo Policy Revision re Gunpowder

Potential change to Kingdom Seneschal’s Handbook…

To be included in Kingdom Seneschal’s handbook section XV Demo Policy.
A Demo with gunpowder is nominally defined as (but is not limited to) bringing any gunpowder (home-made or commercial), items containing powder, or the three main ingredients for the creation of gunpowder onto a site where a SCA event is being held, for the purposes of display or demonstration or any other similar activity, even if there is no intent of lighting the powder. Gunpowder demo rules apply to period flares, smoke bombs, cannons, smaller guns, rockets, and any other items including the basic ingredients in gunpowder. Does not include fireworks.

Rules for Gunpowder Demos in the SCA

1: Check applicable Federal laws
2: Check applicable State laws of state the demo will be performed in
3: Check applicable Local laws of city the demo will be performed in
4: Check Kingdom Law
5: Check if site allows it

Permissions required in writing from all the following people before the demo can be held. Copies of permissions must be available while the demo is occurring. If any of these say no, then the demo cannot occur.
1: Society Seneschal
2: Kingdom Seneschal
3: Hosting group Seneschal
4: Autocrat for the event
5: Owners of site
6: Local law enforcement if site is within city limits
7: King and Queen of Kingdom hosting the Demo

Notification must be given in writing to the following people.
1: Kingdom Minister of Arts and Science
2: Kingdom Knights Marshal

Safety Guidelines for discharging period reproduction guns
1: No projectile will be fired at an SCA event, unless there is a mundanely prepared firing range on site.
2: If the gun is commercially produced, documentation will be with the gun on the manufacturer specifications for using the gun.
3: If the gun is home produced, documentation will be with the gun on the proofing process followed to make sure the gun is safe.
4: When performing the demo, a safety zone of 25 ft behind the firing line, 100 yards to the side of the firing line, and at least 300 yards ahead of the firing line will be established. No people except those directly involved in the firing of the gun will be within this safety zone.
5: No Smoking within the safety zone.
6: At least one fire extinguisher and one first aid kit will be within the safety zone at all times during the demo.
7: A Handout will be available at the demo, providing at a minimum:
A: Safety procedures in place
B: Construction of the device or material in the demo
C: Historical references to the item/items in the demo.
