We are working on drafting new policy to help with these important issues.  Our intention is to create the most effective policy that we can before it is put out for commentary. The SCA was founded on and continues to be governed by the concepts of chivalry and honor, and strives to include and be respectful of all people, regardless of race, gender, religion, disability, sexual orientation, and politics. All participants are reminded of and expected to hold to these principles in participating in this organization and interacting with other people in person and in all forums, regardless of media.

 

The Board of Directors has heard the concerns of many people regarding the use of hate symbols in the SCA. The Board is concerned about this matter and has tasked the President of the SCA to immediately investigate. The President has the full confidence of the Board, and the Board will act as necessary to protect the participants of the SCA and to ensure that chivalry, honor, and respect for all continue to govern the organization.

Call for Applicants – Society Communications Officer

The Society for Creative Anachronism, Inc. is seeking candidates for the position of Board Communications Officer, which will be a 3-year warranted term of service. The successful candidate will be primarily responsible for external and internal communications from the Board of Directors and Corporate Officers.
Key Responsibilities

* Create and curate posts, press releases, and official announcements from the SCA Board of Directors and the its officers.
* Ensure the consistency of messaging internally and externally.

Qualifications

* Experience in communications in an organization; nonprofit a plus.
* Proficient in WordPress and some knowledge of HTML preferred.
* Copywriting and editing ability.
* Expertise with social media and networking sites.

Candidate Profile

* A passion for, and commitment to, effective communication within the SCA.
* Organized, detail-oriented, ability to prioritize multiple projects.
* Outgoing, energetic, and accepting personality.
* Internet/Telephone access

Applicants must be paid members of the Society and able to travel to board meetings as requested by the Board.

Request for Commentary – Mission Statement

Currently open for commentary is a proposal to expand the Society’s Mission Statement.

The Mission Statement currently reads as follows:

The Society for Creative Anachronism, Inc. (SCA) is an international organization devoted to the research and re-creation of pre-seventeenth century life, employing knowledge of history to enrich participants’ lives and the lives of others through events, demonstrations, and other educational venues.

The proposed revision reads as follows:

The Society for Creative Anachronism, Inc. (the “Society”) is a 501(c)3 Educational Not-for-Profit organization devoted to the study of the Middle Ages and Renaissance.  As a living history group, the Society provides an environment in which members can recreate various aspects of the culture and technology of the period, as well as doing more traditional historical research.

The Society’s mission is to promote the research and re-creation of pre-seventeenth century life, employing knowledge of history to enrich the lives of participants and others through live events and other educational venues.

In pursuing this mission, the Society is committed to excellence in its programs and activities and to

∙ act in accordance with the chivalric virtues of honor and service;
∙ value and respect the worth and dignity of all individuals;
∙ practice inclusiveness and respect pluralism and diversity;
∙ promote a safe and respectful environment for all Society events;
∙ act with transparency, fairness, integrity and honesty;

People on the Move – Society Seneschal – Elect

The Board of Directors is pleased to announce the selection of Mike Watkins (Alywin Watkyn) as Society Seneschal-Elect for the Society for Creative Anachronism. Mike Watkins is the a Tech Projects Manager for Auburn University. Alywin Watkyn is a Pelican and former Kingdom Seneschal for Meridies. Mr. Watkins will undergo an intense training period, before succeeding current Society Seneschal, Anthony Pongratz (Antonio Giordano da Sicilia).

The Society Seneschal is responsible for coordinating the administration of the Society’s historical re-creation. This involves directing the activities of the Kingdom Seneschals and of Society-level deputies. Where questions arise concerning the intent of Corpora, the Board specifically authorizes the Society Seneschal to make interpretations and clarifications. The Society Seneschal is also responsible for reviewing all sanction related activities.

People on the Move – Director-Elect Seat E

The Board of Directors is pleased to announce the appointment of Craig Carter (Quintus Aurelius Dracontius) as Director-Elect for Seat E for the Board of Directors of the Society for Creative Anachronism. Craig Carter is the Chief Operating Officer for Radiology Associates of North Texas. Quintus Aurelius Dracontius is a Duke and a Knight from the Kingdom of Ansteorra.

Mr. Carter will take his seat at the conclusion of the April 2018 quarterly meeting.

The Board of Directors of the SCA Inc. establishes the rules of the Society’s historical recreation activities and minimum administrative requirements for officers and branches. It is the final arbiter of the interpretations of these rules as made by the officers of the Society. Members of the SCA Board of Directors serve three-and-a-half year terms. REQUEST FOR COMMENTARY – Proposed Changes – By-Laws and Corporate Policies.

Currently open for commentary is a proposal for changes to the By-Laws and Corporate Policies for the Society for Creative Anachronism. The reasons for the suggested changes are to clarify confusing language, eliminate antiquated terms, and to correct grammar errors.

REQUEST FOR COMMENTARY – Proposed Corpora Change – Corpora IV.E.

Currently open for commentary is a proposal for a change to Corpora IV.E. Reason for suggested change is to clarify confusing language. Corpora currently reads:

ROYALTY, E. Limitations:
3.  Royalty may delegate:
a. the decision-making powers on legislation, distribution of armigerous awards and orders, or banishment, or
b. signature authority for warrants and rosters to territorial princes and princesses within their Kingdom.
Royalty may not delegate these powers or authorities to anyone else.

The proposed change reads as follows:

3. The Crown may delegate the following authority to those territorial princes and princesses within their Kingdom and may not delegate these powers or authorities to anyone else:
a. decision making powers on legislation of principality law with the approval of the Crown.

SCA BOARD OF DIRECTORS COMMITTEES

The following proposal is a summary of the Board Committee structure approved by the SCA Board of Directors on October 22, 2016.

1. The Board approves the formation of the following committees to serve at the pleasure of the Board, with the mission of each committee to be as set forth below that committee’s name:

Executive Committee
Mission: Execute day-to-day oversight of Society business between Board meetings and such other responsibilities as may be designated by the Board from time to time in its discretion.

Finance and Audit

From time to time the Board, at its discretion, may form other ad hoc committees for special projects. The Board has the authority to dissolve or modify any committee or its membership at any time. Committees will make recommendations to the Board and give quarterly reports, but final decision making on all issues will remain with the Board.

Committees will consist of Board members, Society officers, and members-at-large to be nominated in response to a Request for Nomination (RFN) sent by the Board to each Kingdom Seneschal, describing the mission of the committee and suggested minimum qualifications for committee members. Nominations may be made by the sitting Crown with the advice and consent of the Kingdom Seneschal. RFNs for membership of the Finance, Communications and Peerage Committees will be promulgated by the Board on or before year-end, 2016.

BOARD COMMITTEE STRUCTURE TO REPLACE GRAND COUNCIL

 

At its August 22, 2016 meeting the Board of Directors approved the development and implementation of an expanded Board committee structure to encourage and facilitate transparency, participation in and understanding of Society governance throughout the membership of the Society.

 

The Board shall establish Board committees to serve at the pleasure of the Board. Each of these committees will include representatives of the membership-at-large of the Society, to be nominated by the Kingdoms. A request for nomination process is expected to be in place for the initial committees in the 4th quarter of 2016. Committees to be established include the following:

  • Finance and Audit – Mission: assist the Board’s oversight of the Company’s accounting and financial reporting processes, the audit and integrity of the Company’s financial statements and the qualifications and independence of the Company’s independent auditor
  • Risk Management – Mission: Oversee insurance, legal, and related matters.
  • Nominating and Governance – Mission: recommend to the Board the persons to be nominated for appointment as directors; recommend to the Board the directors to be appointed to each committee of the Board; develop and recommend to the Board Society governance guidelines and policies

As Corpora is the primary guide to all SCA rules and procedures and the sanction guide is subordinate to the Seneschals Handbook in terms of precedence, a change to Corpora is being considered by the Board of Directors, i.e.  deleting references to the Sanction Guide in Corpora.  This change clearly reasserts that Corpora is the primary guide to SCA rules and procedures, reduces confusion and eliminates any appearance that Corpora is subordinate to the Sanction guide.

In order to facilitate this change, the Board is presenting a proposal to the membership for commentary for removal of the following portions of Corpora dealing with references to the Sanction Guide:

Chapter I, Section F, subsection 4

Chapter X, Section C, subsections 1(b), 2(b) and 3(b).

The SCA Inc. seeks applicants for the position of Vice President for Information Technology, for a three-year term beginning October 22, 2016.  This is a part-time volunteer position requiring technical leadership and a commitment of approximately 10-15 hours per week plus availability for emergencies.  The position is reports directly to the President and indirectly to the Vice President of Operations and to the Board of Directors by way of an Ombudsman.

The Vice President for Information Technology (VPIT) leads a team of volunteers who maintain and manage the SCA’s Internet servers for web, email, and related infrastructure services.  The VPIT team manages the SCA’s Internet domains, SSL certificates, the technical aspects of e-commerce clearinghouse services, and similar aspects of the corporation’s online identity.   The VPIT may also lead and direct external paid contractors for specific business critical projects or administrative duties.

Grand Council Disbanded

The Grand Council was formed in 1994; a time before email and social media.  There was a need then for a committee that made sure that the membership had a way to communicate with the directors on issues of importance to the SCA.  Twenty years later, members have access to the Internet and with it direct lines of communication to the directors and Corporate officers.  We know we still have problems receiving input from, and transmitting information to, the membership; but we don’t think an intermediary body provides us with the solution to these problems today.
So with thanks for the long and faithful service of the Grand Council, we have decided to disband the committee and work on new methods and approaches for increasing our responsiveness to the members of the SCA.

Society President John Fulton, Director Richard Sherman, and Director Andrew Coleman have been directed to investigate the creation of a new vehicle to facilitate communication between the membership and the directors that recognizes and utilizes the changes in technology, demographics and culture that have changed the way the Society conducts business in the 22 years since creation of the Grand Council.

Pelican Sovereign of Arms

The Pelican Sovereign of Arms is an educational deputy of the Laurel Principal Sovereign of Arms, responsible for the consideration of and decisions concerning names submitted for registration by the College of Arms.

 

Pelican is an unpaid position, currently requiring approximately 20 hours a week. The position requires considerable tact and patience, onomastic knowledge, research and reasoning ability, a clear understanding of the Standards for Evaluation and past Laurel rulings, the ability to write clearly and succinctly, the ability to work within tight deadlines and coordinate closely with Wreath, Laurel and other staff to produce a Laurel Letter of Acceptance and Return monthly, computer literacy and word processing skills, reliable e-mail and telephone access, and time and ability to travel. Access to a good research library is desirable but not required. Given the current structure of the office, a high-speed internet connection is useful but it is not required.

 

Resumés must be sent in both hard copy to Laurel at the address at the top of this Cover Letter and electronically to bids@heraldry.sca.org and resumes@sca.org.

Non-Member Surcharge is now Member Discount

After much research and consideration it has been decided to replace the term “Non-Member Surcharge” with “Member Discount” for SCA use.

With this change, it is important for everyone to know that Child Registration Fees will not go up in view of the “Member Discount”.  We are not assessing $5 for children who do not have a membership.   If under the old fee structure, the site fee was $15 for adults with $5 NMS and $5 for children under 16, then the NEW nomenclature would be as follows:

Adult Event Registration;  $20, Adult Member Discount Event Registration $15, Children (specify the age range) Registration Fees (less at least $5 or more than the member price) Youth (specify the age and under) free.

Application Deadline Extension – President, SCA Inc.

Leslie Vaughn, President of the Society for Creative Anachronism, Inc., has announced that the SCA Board of Directors is continuing to accept applications for the position of President of the SCA Inc. until March 31st, 2016. All applications received will be evaluated after March 31st, 2016.

The Board of Directors of the Society for Creative Anachronism, Inc. is currently accepting applications for the position of President of the SCA Inc. This is a position requiring approximately 10-20 hours per week and includes a stipend.

The President is the principal spokesperson for the SCA, Inc. This officer is a liaison between the SCA, Inc. and outside professionals such as attorneys, accountants and insurance representatives. This officer is a contact for the SCA, Inc. for law enforcement, government agencies, and claimants against the SCA, Inc.

The President works with the Vice President of Corporate Operations to coordinate much of the day-to-day modern operation of the Corporation, and supervises and facilitates communication between many of the Society Officers.

The President is required to execute contracts necessary to properly conduct the SCA’s business, and may delegate similar responsibilities. The President is also responsible for such legal matters as contracts, merchandising and affiliate agreements. The President advises the Board of Directors on areas of corporate governance and policy issues. The President may be assigned other duties by the Board.

Qualifications for the position include excellent written and oral communication skills, the ability to work independently to prioritize tasks and meet deadlines, and strong computer skills. Experience in a modern business setting, organizational ability and problem-solving skills are a must. Experience in a modern non-profit organization and prior experience at the Corporate or Society level of the SCA are desirable, but not required.

Applicants must be available to attend quarterly meetings of the Board of Directors, typically held over a Friday and a Saturday. They must also be available for approximately four conference call meetings per year, typically during weekday evenings. As a great deal of the Board’s business occurs via the Internet, familiarity and basic skills with a computer, MS Office software (specifically Microsoft Word and Excel), and e-mail are required. The successful applicant must have reliable access to the Internet.

Closure of the Office of the Chirurgeonate – August 10, 2015

The decision has been made to close the Office of the Chirurgeonate as of August 10th, 2015. The board and corporate officers want to extend their gratitude for ALL who have served our organization in this capacity in the past. To those who have provided feedback, questions, and worked to explore options for scopes of the office that would allow our organization to retain the office and maintain insurance coverage for the officers and our organization, many thanks as well.

To clarify some of the concerns that have been raised during the many discussions of this change, the board and corporate officers want to provide the following information:

The Society Seneschal has been directed to remove references to the Chirurgeonate from the Record Retention Policy. Existing records should be retained for 2 years for adults, 21 years for minors, then shredded to ensure any Personally Identifying Information is destroyed.
Local groups should sort records into Adult, Minor and Destroy categories and ship (paid for by the local group) records to the corporate office. The corporate office will retain records and handle the shredding.

Each Kingdom has thirty business days to transport these records to the corporate office.

Event Coordinators/Stewards/Autocrats are still responsible for arranging for EMS on site if that is required by municipal/county/state requirements. This most often will apply to large events projecting an attendance greater than the threshold set by the applicable modern agency. It is recommended to include information regarding distance from site to medical care in event announcements, particularly for camping events.

The marshallate will still be responsible for reporting injuries on the field. Seneschals will still be responsible for reporting injuries (particularly requiring transport) as currently directed.

Tangible assets owned by SCA branches that are specific to the Office of the Chirurgeon may be retained or donated or sold, in accordance with applicable financial policies.

Over the counter medications may not be purchased by SCA branches to distribute or make available to event attendees.

The badge of the fleam will remain available for those individual volunteers (not affiliated with the SCA, Inc. and its Kingdoms and local groups) willing to provide basic first aid.
