The Society for Creative Anachronism (SCA) is seeking candidates for the position of Laurel Principal Sovereign of Arms (Laurel).

Laurel is the principal heraldic officer of the Society and the head of the College of Arms and is responsible for fostering the study and practice of heraldry, supervising the processing of submissions, and overseeing the heraldic activities of the Known World.

Laurel is an unpaid position, currently requiring approximately 20 hours a week. The position requires considerable tact and patience, armory and onomastic knowledge, supervisory ability, the ability to work within tight deadlines and coordinate closely with Wreath, Pelican, and other staff to produce a Laurel Letter of Acceptance and Return monthly, computer literacy and word processing skills, reliable e-mail and telephone access, and time and ability to travel.

Open Position – Society Marshal – Deadline April 1, 2020

Applications for the position of Society Marshal are now being accepted.  The position entails administrating the marshallate activities of the Society and coordinating the activities of the kingdom Earl Marshals. Reports are required to be filed quarterly to the Board summarizing the martial activities of the Society and of each kingdom. The Society Marshal is also responsible for holding meetings to communicate with the kingdom Earl Marshals.

The successful candidate must be well versed in administrative techniques, problem-solving, and interpersonal communications. Knowledge of marshallate policy, rules, and procedures are essential. The ability to travel is necessary, as well as having a telephone and e-mail. Knowledge of the traditions and history of the Society is required.

Open Position – Society Chancellor of the Exchequer – Deadline April 1, 2020

The Society for Creative Anachronism (SCA) is seeking candidates for the position of Society Exchequer. This position reports to the SCA Corporate Treasurer.

Duties and responsibilities:

  1.  Compile the Society and its subsidiaries Domesday reports, grouped by state and kingdom, with depreciation breakout, and submission of these reports to the Corporate Treasurer and the SCA Tax Accountant;
  2. Maintain the Kingdom Domesday report template spreadsheets and distribute them each year to the Kingdom Exchequers;
  3. Track NMS fees;
  4. Review quarterly reports on kingdom-level accounts;
  5. Review kingdom and inter-kingdom financial policies to make sure they are in compliance with the Society Financial Policy and to submit revised financial policies to the Board of Directors for approval;
  6. Review Inter-kingdom Event Financial Policies and submit to the Corporate Treasurer and the Board for approval;
  7. Report quarterly to the Corporate Treasurer and the Board of Directors and report the meeting results to the Kingdom Exchequers;
  8. Travel as required to support Kingdom Exchequers, including for training, book reviews, and theft investigations;
  9. Conduct supplemental training of Kingdom Exchequers and assist the training of local exchequers;
  10. Conduct reviews of Kingdom books and ensure Kingdoms are reporting;
  11. Maintain the Kingdom Exchequer email list;
  12. Maintain the SCA-Exchequer email list;
  13. Notify Kingdom Exchequers of any changes in policy or procedure, including consulting with them to develop any necessary new policies;
  14. Maintain the various exchequer handbooks/manuals and republish them at least every three years;
  15. Maintain the various exchequer reporting forms and update them as needed;
  16. Serve as subject matter expert for questions from the Kingdom Exchequers as well as the general populace;
  17. Warrant Kingdom Exchequers and special deputies; and
  18. Communicate with banks where necessary.

The Society Exchequer receives a stipend for their services and will receive a 1099 for tax purposes. Workload will vary but expect to put in an average of 15 hours per week.

 

Required for this position are dependable email access; dependable phone access; moderate Microsoft Excel proficiency; moderate Microsoft Word proficiency; and the ability to clearly communicate verbally and in writing, i.e. in person and via email, phone, and in written reports. Prior experience as an exchequer in the SCA is required; prior Kingdom Exchequer experience is highly desired.

Working knowledge of SCA’s accounting procedures is necessary. Individuals with accounting backgrounds or training are highly desired.

Ms. Costello has worked in knowledge, risk and culture strategy for public and private sector organizations. She has previously provided social media expertise for a range of non-profit organizations, including successful campaigns for ovarian cancer research fundraising and music and arts festivals.

Baroness Anne de Tournai (OP, OL) is a 15th-century Burgundian noblewoman with a passion for mustard and the culinary arts. She believes that everyone deserves to eat well.

Seneschal’s Handbook Update – 2013 Marijuana Policy Interpretation

The Board of Directors has removed the 2013 Marijuana Policy Interpretation from the Seneschal’s handbook. The SCA will alternatively utilize the following language located within Corpora in section I. A. 2.

Despite the use of the word “law” to describe the operating documents of its regional branches, the Society recognizes the absolute precedence of law issued by civil authorities over any of its internal rules. The SCA, Inc. as a corporate person, along with all of its members as citizens, must obey the law of whatever jurisdictions apply to them in exactly the same fashion as all other corporations or citizens in those jurisdictions.

Where marijuana consumption is legal for recreational use, all local and/or state laws should be followed and its usage should be treated similarly to alcohol and tobacco. Additionally, where marijuana consumption is legal for medical use, all local and/or state laws should be followed to conform to those regulations as well. Participants within the SCA should always observe courtesy with their use of any product that produces smoke or vapor. Both tobacco and marijuana smoke can be harmful to others and exposure to second-hand smoke is a health risk we should not impose on others.

Eowyn de Wever, OLThe Board of Directors would like to announce the appointment of Eowyn Cenek, Ph.D. (Eowyn de Wever, OL ) as Society Webminister.

Ms. Cenek is a database administrator at the University of Southern Miss. She is currently the proud owner of 20+ looms and is considering adding another room to the house to store some of the looms. Her husband is thrilled at the prospect.

Mistress Eowyn de Wever is a tablet weaver who enjoys designing patterns and teaching novice weavers to weave and design their own. Currently residing in Gleann Abhann, she is known to occasionally comment hopefully that “Winter is Coming!”.

Call for Nominations – Board of Directors for the Society for Creative Anachronism

The SCA’s Board of Directors is continually seeking nominations for individuals to serve on the Board. The Board sets policy and maintains the unified rules that provide the framework for all of the SCA’s activities and acts as the final arbiter when rule interpretation is required.  Candidates for the Board may be nominated by SCA members and participants or can be self-nominated.  Once nominated candidates remain on the candidate list for two years, but may renew at the end of that term if they so desire.   No special experience is required and candidates do not need to have specialized modern degrees.  They need not be peers. Candidates from all walks of life are desired.

Members of the Board make a four (4) year commitment when agreeing to serve (three-and-a-half (3 1/2) years after a six (6) month training period).  The position does require travel a minimum of four (4) times a year to attend quarterly board meetings. Additional travel may also be needed.  Board Members are volunteers, but all travel expenses (flights, food, and lodging) are covered.  There is also a budget to handle administrative costs and/or necessary equipment.

The idea of being a member of the Board of Directors can sound daunting, but service in this manner is vital to the health, well-being, and future growth of our organization. To make a nomination, please send the person’s Modern Name, SCA Name, and email address to recruiting@sca.org.

Project Corpora Updates

Greetings to all,

As mentioned in my last President’s Report to the community there is a project to review Corpora to clean up any confusing or outdated language in order to make it more “user-friendly”.  This will be an ongoing project and will not affect the Board presenting proposals to the membership on substantive changes such as the recently suggested change to Corpora IV.B.1 which would remove the mention of gender as a requirement for Royal Lists.

At the July 2019 meeting, the Board approved the first set of edit changes/clarifications for commentary to the membership.

A copy of the relevant parts of Corpora showing the proposed edits can be found at the above link.  Edits are red-lettered.

Also available is a copy of an explanation of the proposed changes.  Most of these are editorial in nature only.  This includes changes to the Glossary, some standardized language cleaning, and moving toward gender-neutral terms.  This also proposes removing such phrases as Western Europe in order to properly include many other cultures within the scope of the Society’s pre-17th Century reenactment activities.  This part was addressed recently by the Board.

This is the first of the current attempts at editing and updating Corpora.  It will not be the last. Nor is this considered to be a complete and finished document. 

The intent of this project is NOT to do substantive game-changing alterations.

Jessica Van Hattem (Lady Astridr “Zahra” Ymirsdottir)The Board of Directors is pleased to announce the selection of  Jessica  Van Hattem (Lady Astridr “Zahra” Ymirsdottir) for the position of Diversity, Equity, and Inclusion (DEI) Officer for the Society for Creative Anachronism.  Jessica is a technical writer specializing in procedural and policy documentation.  Lady Zahra is a 15th-century Ethiopian diplomat’s daughter, preparing for a voyage with her family to the Italian peninsula.  She currently resides in the Middle Kingdom.

The DEI Office is committed to promoting the values of inclusion throughout the SCA by facilitating the necessary conversations and decision-making that can lead to a more equitable and inclusive SCA.  As DEI Officer, Jessica/Lady Zahra will be responsible for developing training for Kingdom Officers, promote accountability based on our core values, and support our existing processes to address inequitable actions including discrimination and bullying, among other duties.

Jessica/Lady Zahra will assume the office at the close of the October 2019 Quarterly Meeting.

The SCA Board of Directors has approved the language below to be used in the Society Seneschal’s Handbook.  While we believe this to be a functional policy we wish to consult subject matter experts in the area of youth activities and further changes may be made in the future. We greatly appreciate thoughtful suggestions to policy language and welcome commentary.

Motion by John St. Dennis that Section X.3 “Dealing With Minor/Youth -Related Policies of the Seneschal’s Handbook be replaced with the following language effective immediately:

Parents or guardians of minors shall have ultimate responsibility for the welfare and behavior of their children at all times.  It is the responsibility of the adult who brings a minor to an event to ensure that the minor is safe and not in danger.  At events in which youth participate in any way, participating minors must either have a parent or legal guardian present at the event, or an accompanying adult present in possession of a properly executed “Medical Authorization Form for Minors.” 

 

Notification of this change to the membership should be accompanied by the following announcement:  “The SCA Board of Directors has approved the language below to be used in the Society Seneschals Handbook.  While we believe this to be a functional policy we wish to consult subject matter experts in the area of youth activities and further changes may be made in the future. We greatly appreciate thoughtful suggestions to policy language and welcome commentary.”

People on the Move Announcement – Interim SCA Diversity, Equity and Inclusion Officer

The Board of Directors would like to announce the appointment of Gigi Coulson, M.S. (Giata Magdalena Alberti, OL ) as Interim SCA Diversity, Equity, and Inclusion Officer.  Ms. Coulson is an interdisciplinary sociologist and biologist with experience in both qualitative and quantitative social assessments, environmental impact statements, and diversity initiatives, among other things.  Mistress Giata Magdalena Alberti is a late 15th-century Florentine living in Venice. whose hobbies include working on her herbal experiments, occasional hawking, mediating contests of skill and chance.   Ms. Coulson will hold the position until an official placement can be determined and may be contacted via Equity@sca.org.

Revised Mission Statement

After careful review and consideration of all feedback, the Board of Directors has decided to update the mission statement to be more inline with current society practices:

The Society for Creative Anachronism (SCA) is an international non-profit volunteer educational organization.
The SCA is devoted to the research and re-creation of pre-seventeenth century skills, arts, combat, culture, and employing knowledge of history to enrich the lives of participants through events, demonstrations, and other educational presentations and activities.

The Board of Directors wishes to thank everyone who took the time to write in with their comments for the betterment of our society.

At the Board of Directors July 2018 meeting, the following policy was approved and is to be considered effective immediately.

“SCA Statement of Core Values 

In pursuing its mission, the SCA is committed to excellence in its programs, communications and activities and to

∙ act in accordance with the chivalric virtues of honor and service;

∙ value and respect the worth and dignity of all individuals;

∙ practice inclusiveness and respect pluralism and diversity;

∙ promote a safe and respectful environment for all SCA events;

∙ act with transparency, fairness, integrity and honesty;

∙ be a responsible steward of SCA resources; and,

∙ be committed to maintaining the trust of its members and participants.

It is the expectation of the SCA that its members and participants, in all events and activities of the SCA, will conduct themselves in accordance with these tenets.”

Updated Hate Speech Language

At the Board of Directors July 2018 meeting, the following addition to Corpora was approved and is to be considered effective immediately.
“Corpora Article X, Grievances and Sanctions, A. General, Add Section 4:   Hate Speech
Hate speech is not tolerated in the Society.  Hate speech is speech or symbols that offend, threaten, or insult individuals or groups, based on race, color, religion, national origin, sexual orientation, disability or other traits.  Such symbols and speech have no essential part of any discussion of ideas and are of so little value to the Society that any benefit that may be derived from them is clearly outweighed by the harm caused. The use by any participant in the Society may result in possible sanctions up to and including revocation of membership and denial of participation.
Please report any possible instances of hate speech to your Kingdom Seneschal, the Society Seneschal or the President of the SCA immediately.  For more information about hate speech and the reporting of same, please refer to the Society Seneschal’s Handbook.  “

People on the Move – Dan Watson (Bartholomew Hightower)

The Board of Directors is pleased to announce the selection of Dan Watson (Bartholomew Hightower) as Director-Elect for Seat F for the Board of Directors of the Society for Creative Anachronism. Mr. Watson is an associate professor in Computer Science at Utah State University in Logan, Utah.  Bartholomew Hightower is a Knight from the Kingdom of Artemisia.

Mr. Watson will take his seat at the conclusion of the October 2018 quarterly meeting.

The Board of Directors of the SCA Inc. establishes the rules of the Society’s historical recreation activities and minimum administrative requirements for officers and branches. It is the final arbiter of the interpretations of these rules as made by the officers of the Society. Members of the SCA Board of Directors serve three-and-a-half year terms. Candidates for the Board are nominated by SCA members and participants. For more information on this process please contact Leslie Luther-Fulton at  recruiting at sca.org.

People on the Move – Communications Officer

The Board of Directors is pleased to announce the selection of Kelly Magill (Heather Shea) as Communications Officer for the Society for Creative Anachronism.  Kelly Magill is the a Web Developer/ Human Resources Manager for North Bay Computer Services in Ontario, Canada.   Heather Shea is a former Kingdom Seneschal for the Kingdom of Ealdormere and will be working under the direction of the Society President.

The Communications Officer assists the President with the planning and execution of a variety of communications initiatives for both internal and external audiences.  This position is responsible for writing, reviewing and editing media releases, newsletter stories, web content and other communications, as well as fact finding and verification for same.

Request for Comments – Hate Ban Language

The Board of Directors is seeking commentary on the following policy proposal regarding hate speech and hate symbols.

Advice is additionally being sought on whether to place this proposed amendment in (1) Corpora, which governs the SCA as a whole, including all kingdoms and Affiliates, or (2) the Corporate Policies, which govern only the Society for Creative Anachronism, Inc., not the Affiliates.

The SCA bars the use of hate speech and hate symbols.  The use of such will be sanctioned. The SCA notes that not all offensive speech is hate speech and recommends that the dispute resolution process be applied in matters of suspected hate speech.

Hate speech is not tolerated in the Society.  Please report any instances of hate speech to your Kingdom Seneschal, the Society Seneschal or the President immediately.  For more information hate speech and the reporting of same, please refer to the Bullying and Harassment Policy, which can be found in the Seneschal’s Handbook.

Statement from the Board regarding Hate Speech and Hate Symbols:

The Board recommends that the Kingdoms implementing a ban on individual symbols, such as the swastika, discuss this with the Kingdom populace to ensure such action best serves everyone.
