Proposed Corpora Language Change

The SCA Board of Directors seeks commentary on a proposed Corpora language change recommended by the Laurel Sovereign at Arms.

Current language for Corpora VIII.B.2

2. Kingdoms may establish awards and orders conferring Awards or Grants of Arms, and the Crown may award membership in such orders according to the laws and customs of the kingdom. The names and insignia of these awards and orders must be ratified by the Laurel Sovereign of Arms. The order of precedence among orders conferring Awards or Grants of Arms shall be established according to the laws and customs of the kingdoms. Principalities may establish their own awards and orders, but the approval of the Crown is required before these awards and orders may convey Arms.

SCA Audit Team

The State of California is requiring a full financial audit from the SCA.  We have contracted with the CPA firm of Boman Accounting Group, Inc. to conduct the audit for the years 2012 and 2013 and report their findings. The audit will not encompass any of the SCA subsidiaries, afffiliates nor non-US groups.  Documents and records will be requested from US kingdoms or local groups to satisfy this audit.  There will be a specified timeframe for providing the documents for the audit, as the cost of this audit is dependent on the length of time involved. Leading the SCA Audit team will be Mazelle Attiya, former SCA Treasurer and Society Exchequer.  Mazelle will work closely with the Boman Accounting Group, and will be the Corporate interface with the Kingdoms and local groups.  The Corporate Treasurer, the Society Exchequer and Renee Signorotti are advisors on the SCA Audit team. We thank you in advance for helping our organization through this excellent exercise in evaluating all of the financial processes used throughout the SCA.

Leslie Vaughn, President of the Society for Creative Anachronism, Inc., has announced that Board of Directors is seeking applicants for the position of Society Seneschal and Vice President of Operations. Leslie Vaughn writes:  The Board of Directors of the Society for Creative Anachronism is now accepting applications for the position of Society Seneschal (Vice-President for Operations). This is a part-time, paid position, which requires approximately thirty-two hours per week .

Position Requirements and Responsibilities:

  • Oversee directly and indirectly the planning and implementation of all game side activities.
  • Ensure confidentiality of all investigations
  • Annual review of all direct documentation
  • Interface as a corporate spokesperson for information management
  • Explore, evaluate and create new documentation as needed to ensure a positive game side experience
  • Train all direct reports and indirectly assist with the training of subsequent staff
  • Report as instructed within all timelines
  • Excellent communication skills
  • All other tasks as assigned

General Requirements:

  • Management experience with both volunteers and employees preferred
  • Ability to connect to internet required
  • Good working knowledge of current SCA corporate documents required
  • Applicants must be available for the four quarterly Board Discussion Sessions per year (typically held on Fridays), held in addition to the four Board meeting days per year (typically on Saturdays). As Thursdays and Sundays tend to be travel days, each applicant must have sixteen days available per year, of which eight are week days. Additional traveling may be required. Availability for up to eight evening conference calls per year (generally starting at 9:00 p.m. Eastern Time) is also required.

Position Available: Silent Herald Deputy Applications Sought

From Laurel King of Arms: Silent Herald Deputy Applications Sought

In order to encourage and promote the use and equality of Silent Heraldry at all courts and events in which the entire populace attends, and to assist the silent heralds in their dealings with the Crown, the Silent Heraldry Deputy of Laurel Sovereign of Arms coordinates efforts and communication throughout the SCA. Silent Heralds in the Society are heralds who express auditory information into visual and/or tactile information used by deaf and hard-of-hearing people.

This deputy is tasked with the following duties, plus other such tasks as assigned by Laurel:

Working with Kingdoms to improve the organization of silent heraldry and its integration with other court and event heralds.

Working with Kingdoms and Laurel to improve education regarding silent heraldry, both for silent heralds themselves and the general populace.

Acting as a resource for silent herald programs.

Preparing quarterly reports to Laurel on the status of such programs.

In 2007 I was invited to serve on the SCA’s Board of Directors. It was an incredible journey. I thought that was my fondest time in the SCA.

Two and a half years ago I was given the opportunity to be able to serve the SCA as Society Seneschal. These moments were perhaps my most fulfilling in the SCA. I look back on the mile markers strewn along the journey. There were many. The dearest memories of which were the SCA Census, The Seneschal’s Handbook redesign, the Unofficial Society Seneschal’s Facebook Page and The Sanction Guide. I could not have done any of this without folks who walked with me. Sara (Kim) my wife without whose support I could not have done this and who made my docs sing. Phillip (Scott) my ER until he stepped up as a Board member. Thank you for teaching me “please” or at last a version of it. Heather (Kelly) for being my git-er-done deputy. No task was too daunting for you. Ditto for you Avery, you rock. John (Bearkiller) my idol. You are the one I hope to be. Renee I will miss you. You kept me as on path as humanly possible. Thank you for putting up with me. You are the SCA.

The list goes on and on…Denise, Valharic, Marilee, LLF, David, Max, Marshal and the countless folks who made it possible for me to be able to shoulder the job as Society Seneschal but whose names are forever etched on my heart. Lastly to all the Kingdom Seneschal; I am in awe of you. You are the blood and sinew of our society. Thank you for allowing me to work with a team of incredible folks. I am humbled by your tireless service.

Time has come to take a rest. Master Antonio Giordano da Sicilia of the West (Anthony Pongratz) will be stepping in as my ER Deputy effective close of the April meeting. He will be awesome.

Position Available: Laurel Principal Sovereign of Arms

The Laurel Principal Sovereign of Arms (Laurel) is the principal heraldic officer of the Society and the head of the College of Arms. Laurel is responsible for fostering the study and practice of heraldry, supervising the processing of submissions, and overseeing the heraldic activities of the Known World.

Laurel is an unpaid position, currently requiring approximately 20 hours a week. The position requires considerable tact and patience, armory and onomastic knowledge, supervisory ability, the ability to work within tight deadlines and coordinate closely with Wreath, Pelican and other staff to produce a Laurel Letter of Acceptance and Return monthly, computer literacy and word processing skills, reliable e-mail and telephone access, and time and ability to travel.Resumes must be sent in both hard copy to Laurel Resume, SCA Inc., Box 360789, Milpitas CA 95036 and electronically to bids@heraldry.sca.org and resumes@sca,org. Resumes must be received by June 1, 2014. The present Laurel’s warrant expires in September 2014. A New Deputy Society Seneschal Office

 

The SCA Board of Directors is directing the Society Seneschal to develop and implement a new Deputy Society Seneschal Office and accompanying kingdom level infrastructure to deal with broad-based event support services.

The core activity and a core competency of the Society for Creative Anachronism is holding events – and our event autocrats and event staff are tremendous volunteer resources who typically shoulder the burden for our mutual benefit over and over and over again.

The Board of Directors of the SCA, Inc. believes that it is possible for the Society to take steps to reduce some of that burden by providing an ongoing information clearinghouse resource to provide autocrats and event staff with lists of providers of the support services needed to hold and best manage SCA events.

With this initiative coordinated by a Society-level Deputy Seneschal, and information gathered, managed, and supervised at the Kingdom level by deputy Seneschals, the new Office might thus gather, manage, and provide valuable and timely information for those who put together our events and activities.  The new Office will be charged with developing a clearinghouse of event support services like local port-a-john providers, local externally certified SCA first-aid volunteers, local emergency services companies, perhaps even local event sites, etc…  The Office might not only provide a list of providers, but could also provide additional information about those providers — such as if they had been used successfully or unsuccessfully by the SCA in the past, if they provided competitive or uncompetitive rates, basic information about their certifications/licensing (where applicable), etc…

This new Deputy Office will thus be responsible for providing information about the types of services listed above so that they might be made available for events when wanted or needed, along with information about the broader range of services of use to event planning and implementation staff.

The Office will be created as a new Deputy Seneschal position and, like the Deputies of all offices (e.g., the Seneschallate, Marshallate, Office of the Exchequer, Arts & Sciences Office, Herald, etc…) will act to develop and coordinate these resources at a Kingdom-level.

Announcement Regarding the Society Chirurgeonate Request for Comments

 

The SCA Board of Directors seeks commentary on a proposal to eliminate the official Office of the Chirurgeonate, and the associated changes to Corpora necessary to accomplish this action.

 

The Office of the Society Chirurgeon has been providing exemplary service to the Society since 1986. The Society and Board of Directors are tremendously grateful for the sterling service the Office of the Society Chirurgeon has provided over the years, and hope to continue to allow licensed first aid providers to provide such service, while needing to take into account the realities of the climate in which the SCA currently operates.

 

The Board of Directors has been advised by its outside counsel, as well as by its insurance company, that having officers of the Corporation acting as emergency services providers and warranting them as official Chirurgeons represents an unacceptable assumption of liability by the Corporation for the actions of these individuals. The SCA can allow individual medical professionals to provide emergency care under their own licenses and the various Good Samaritan laws. Such services can also be provided by professional emergency services organizations and companies that provide such services. However, having corporate officers and warranted officials do so represents an unacceptable risk according to both our outside counsel and our insurance company.

 

Acting upon the recommendations of our professional advisors, the Board of Directors of the SCA, Inc. seeks commentary regarding a proposal to eliminate the Office of the Society Chirurgeon, the Kingdom and local Chirurgeons, and all associated Deputies and warranted Chirurgeons as of a future date. All Society Chirurgeonate activities and warrants of office would cease at that time. Any emergency services at SCA activities would thereafter only be performed by Good Samaritans under their own licenses, or by professionals or professional organizations specifically hired or called by event staff to provide such services.

 

Individuals with appropriate emergency care related licenses or those acting under the general Good Samaritan laws that might be applicable are, of course, free to provide emergency care at SCA activities under the terms of their licenses and applicable state and local laws. However, they would be doing so as volunteers and would not be warranted by the SCA nor hold an SCA office related to the provision of emergency care services. Similarly, professional emergency care organizations (e.g., municipal, non-profit or for-profit ambulance providers) that are not affiliated with or part of the SCA or any SCA organization, might provide emergency care services at SCA events (particularly larger SCA wars) through arranged voluntary or for-hire agreements with event staff. Licensed individuals would still be able to provide significant service to their local groups, Kingdoms, and the Society by offering to provide any emergency services under their own licenses (and would thus be worthy of any and all appropriate awards) — but would no longer be providing such services through an official Society Chirurgeonate.

 

The SCA would no longer maintain an Office of the Society Chirurgeon, Kingdom or local Chirurgeons, or warrant any Chirurgeons or Chirurgeonate activity. However, individuals are still encouraged to meet and pursue any and all SCA-related interests on their own. People are, of course, free to pursue and provide emergency care at SCA activities as licensed medical practitioners under the licensing laws of their state or any Good Samaritan laws that might be applicable. Any such unofficial organizations, communications, or provision of emergency care related services would not be sponsored or overseen by the SCA, Inc. or any of its groups.

 

The SCA would no longer have Corporate, Kingdom, or local Chirurgeon officers or warranted Chirurgeons, so any and all class material taught on any related subjects would be developed and provided by SCA members individually and based on their own accreditation, licenses, and experience. Because the SCA, Inc., does not endorse or supply the content of any classes taught at SCA activities (other than those being taught by Officers in support of their Office), individual members are free to teach classes on any material that might be related to unofficial first aid activities, but would be doing so strictly as individuals with no official sanction or involvement of SCA, Inc. As individuals, such service could also be considered worthy of any and all appropriate awards, although there would be no relationship to an official Society Chirurgeonate.

 

The Board of Directors seeks comments on the matter through 03/18/2014, which can be directed to sca-comments@lists.sca.org. Additionally, we invite all those interested to send their comments to the Society Chirurgeon (chirurgeon@sca.org). The Board of Directors invites the populace to take advantage of the range of our communication outlets — including email lists, social media venues, and public meetings — to discuss the issue, but would simply like to remind everybody that courtesy and the presumption of honor are core values of the Society, and apply equally in on line venues as they do at SCA events. Additionally, the Board of Directors will be holding a public meeting at Gulf Wars, where these interested in discussing this issue are welcome to hear what the Board has to say and share their feedback.

The SCA Inc. seeks applicants for the position of Vice President for Information Technology, for a three-year term beginning April 12, 2014. This is a part-time volunteer position requiring technical leadership and a commitment of approximately 10-15 hours per week plus availability for emergencies. The position is reports directly to the President and indirectly to the Vice President of Operations and to the Board of Directors by way of an Ombudsman.

The Vice President for Information Technology (VPIT) leads a team of volunteers who maintain and manage the SCA’s Internet servers for web, email, and related infrastructure services. The VPIT team manages the SCA’s Internet domains, SSL certificates, the technical aspects of e-commerce clearinghouse services, and similar aspects of the corporation’s online identity. The VPIT may also lead and direct external paid contractors for specific business critical projects or administrative duties.

This position requires specific project management, interpersonal and technical skills, including the following:

· Ability to communicate clearly and effectively in writing, including documents and announcements that will be released for public perusal. This position also requires four detailed quarterly reports plus to the President and the Board, plus an annual (Domesday) report.

· Ability to interact constructively with non-technical clients who use the SCA’s online services, including Society officers, Board members, and the SCA’s corporate office team.

· Ability to lead a team of technical volunteers and/or paid contractors to support and enhance the SCA’s Internet capabilities.

· Ability to interact with the Corporate Treasurer, Society Exchequer, Society Chronicler, Society Web Minister, and other corporate level officers to advise on policy issues related to information technology.

· Familiarity with the software components and technologies used on the SCA servers. The main components include a variety of technologies with Linux, Apache, GNU, and PHP among them.

· Ability to maintain strict confidentiality of highly sensitive information.

Qualified applicants should have a technical college degree and at least ten years of experience in project management and information technology, or equivalent. Reliable high-speed Internet access, including while traveling, is essential, and ownership of a laptop computer is highly desirable.

The Vice President for Information Technology leads and/or implements strategic projects on a largely self-directed basis or as requested by Society officers or the Board. He or she also will direct a technical team that corrects problems on the SCA servers, sometimes on an emergency basis.

The SCA Information Technology team receives multiple daily reports from the servers, including status of important software systems, e-commerce summaries, and security bulletins. These reports need to be monitored on a daily or near-daily basis.

Position Available: Gulf Wars Deputy Exchequer.

Gulf Wars is seeking an individual willing to serve as a Deputy Exchequer for one year, then as the Gulf War Exchequer for the next two years with a final year as the Emergency Deputy. This position starts on or about February 1, 2014. The deputy will replace the current Gulf Wars Exchequer after August 1, 2014.

 

Requirements include the ability to arrive the Friday before the War and stay late the Monday after the War. Applicant must have internet and email capability along with knowledge of Excel and Exchequer experience in the SCA, especially doing quarterly reports. Gulf War volunteer work is desired. A local branch of Bancorp South and/or Region’s bank would be helpful.

 

As indicated – this is a four-year position with the first year (starting August 1, 2014) as Deputy Gulf Wars Exchequer and the next two years as the Gulf War Exchequer. The final year will be as the Emergency Deputy to the incoming Gulf Wars Exchequer. This position is a warranted deputy to the Society Exchequer.

Request for Commentary on Sanctions and Corpora

Over a year ago the office of the Society Seneschal began a complete revamp of the sanction process. The Grand Council assisted in this mammoth project as did past society Seneschals, Kingdom Seneschals, members of the Royalty and past board members. Special thanks to the feedback from individuals that have gone through the sanction process in the past and the subscribers to the Society Seneschal’s unofficial Facebook page.

The new sanction guide cannot exist without changes to corpora therefore both of these documents are being put up for commentary as they are matched pair. You can find PDFs of those documents on the Society Seneschal’s webpage at http://socsen.sca.org/. Commentary will be open for 60 days and should be sent to sca-comments@lists.sca.org. The commentary period concludes December 28, 2013. It will be helpful to reference specific page number and section number.

The plan is to hopefully put this project in front of the board for approval at the January 2014 board meeting. If you have questions for me directly please contact me at seneschal@sca.org.

Trying to get a handle on a loose thread regarding the sanction guide. What is the meaning of “SCA participation”. More specifically. When you get a sanction resulting in a revocation of membership and denial of participation, what should be precluded. So in the hypothetical Lord Bubba was r&ded for beating his significant other at a sca event. What can he do or cannot do? We know he cannot go to SCA events, SCA meetings? What else.

Additional Peerage Exploratory Committee (“APEC”)

At the July 2013 Board Meeting, the Additional Peerage Exploratory Committee (“APEC”) proposed that the Board of Directors create a new Patent-bearing Peerage Order parallel to the Orders of the Chivalry, the Laurel and the Pelican. This Rapier Peerage would be for the related martial arts of rapier and all forms of cut & thrust in the SCA.

 

As announced in the Board’s original call for nominations to the APEC in March 2012, the APEC’s report is now published to the membership for comment. To access the APEC report, you may click on this link or go to http://sca.org/BOD/announcements/APECProposal.pdf. The commentary period is open until December 15, 2013.

 

Once the commentary period has expired, a larger and more representative Review Committee will then review the APEC’s proposal and all comments received from the membership on the proposal. The Review Committee will be established by the Board and will be comprised of representatives selected by the relevant groups and organizations within and across the Society (e.g., the Kingdoms, Peerages, Heralds, Seneschals, Grand Council, Rapier Fencing Community, and C&T Fencing Community) as a final input into the process.

 

The Board will work with the Kingdoms, the College of Heralds, the Seneschallate and the Grand Council to request their nominees to the Review Committee. The Board now solicits letters of intent from individuals willing to serve on the Review Committee as representatives of the Orders of the Chivalry, the Laurel and the Pelican, the Rapier Fencing Community and the Cut and Thrust Fencing Community. Hard copies of resumes (both professional and SCA related, including offices held and honors) must be sent to the attention of The Board of Directors, SCA, Inc., P.O. Box 360789, Milpitas, CA 95036-0789. Electronic courtesy copies should also be sent to peerageexploratorycommittee@sca.org and resumes@sca.org.
